It allows you to define, edit and synchronize styles and swatches across collections of disparate InDesign\u00a0document collections.<\/p>\n<p>This script was presented\u00a0at the CreativeWow! session of the\u00a0<a href=\"https:\/\/creativeproweek.com\/\">CreativePro Week 2017<\/a> in Atlanta.<\/p>\n<p>Download link:<\/p>\n<p><a href=\"https:\/\/www.rorohiko.com\/downloads\/BorderCollie.1.0.0.zip\">https:\/\/www.rorohiko.com\/downloads\/BorderCollie.1.0.0.zip<\/a><\/p>\n<h2>The Problem<\/h2>\n<p><em>(Note: BorderCollie<\/em>\u00a0is not for everyone; it will mostly\u00a0be useful to users who need to maintain a large collection of InDesign templates)<\/p>\n<p>Some InDesign users need to manage a large\u00a0collection of InDesign templates\u00a0or documents, and they need to make sure they are all set up correctly, according to some style guidelines.<\/p>\n<p>The templates could be arranged logically, in some structure of nested folders. E.g. templates\u00a0could be arranged by brand, by product, by customer&#8230;<\/p>\n<p>Often, the document names are structured in some way and these names could\u00a0encode\u00a0some relevant info.<\/p>\n<p>E.g. all business card templates might be called <em>CustomerXYZ_BsCr.indt<\/em>, and the <em>_BsCr<\/em>\u00a0in the file name could be a code which indicates the template is for a business card. \u00a0<em>_LrHd<\/em> could indicate this is letterhead. Many companies develop some similar document naming standards, and <em>BorderCollie<\/em> can be made to use them.<\/p>\n<p>Such naming convention allow for common traits to\u00a0be standardized independent of the folder structure. E.g.\u00a0all letterhead templates or all business card templates might need to have the exact same document size, independent of where they are located in the folder structure.<\/p>\n<p>More examples:\u00a0all documents might be arranged into folders by brand, and all branded documents might\u00a0have a color swatch <em>Brand Color<\/em>. But the <em>Brand Color<\/em>\u00a0swatch will be colored differently for each brand. Within brand <em>XYZ<\/em>\u00a0this swatch needs to be defined consistently across all documents for brand <em>XYZ<\/em>. And within all documents for brand <em>PQR<\/em>\u00a0a swatch by the name\u00a0<em>Brand Color\u00a0<\/em>will exist, but with a different color definition.<\/p>\n<p>Typically, to create a new set of templates for a new customer or a new brand, one would copy a &#8216;base&#8217; set of templates, then open all documents and redefine customer- or brand-dependent elements in them. This is painstaking and error-prone work.<\/p>\n<h2>BorderCollie<\/h2>\n<p><em>BorderCollie<\/em> is a &#8216;herder&#8217; for documents.<\/p>\n<p>You can point it to a base folder, and it will scan that folder, and all its subfolders. It will find and inspect all .indd or .indt documents in the folder structure, anywhere below the starting point.<\/p>\n<p>While <em>BorderCollie<\/em> visits all of these documents, it can be instructed to perform certain tasks along the way.<\/p>\n<p>These tasks can be unconditional or conditional. You can either act\u00a0on all documents, or more targeted, only on documents that match a certain requirement.<\/p>\n<p>For example, tasks can be made to be dependent on the document name or document path.<\/p>\n<p>A\u00a0particular task could be targeted to only touch documents whose name contains <em>_BsCr<\/em>.<\/p>\n<p>Another task could be targeted to only touch documents that are stored below a folder called <em>Customer1244<\/em>, in order to affect customer-specific settings.<\/p>\n<h3>Beware of inadvertent document version upgrades<\/h3>\n<p>Important: <em>BorderCollie<\/em> is a script that runs inside of InDesign.<\/p>\n<p>If you run <em>BorderCollie<\/em> from a certain version of InDesign, and you let it loose on a folder structure that contains documents that were created with an older version of InDesign, then <em>BorderCollie<\/em> will upgrade all documents it visits to the version it is being run from.<\/p>\n<p>Example: you have a folder full of templates for use with InDesign CS6, and you install <em>BorderCollie<\/em> in InDesign CC 2017.<\/p>\n<p>You run <em>BorderCollie<\/em>\u00a0on that folder. Afterwards, you&#8217;ll find that most or all documents will have been upgraded to CC 2017, and are not usable with CS6 any more.<\/p>\n<p>In that case, if you want to keep the documents compatible with CS6, you need to install and run <em>BorderCollie<\/em> from CS6.<\/p>\n<h3>Be\u00a0Safe Rather Than Sorry<\/h3>\n<p>To avoid major catastrophes, <em>BorderCollie<\/em> is set up to first make\u00a0backup copies of any documents it re-saves in subfolders called <em>Backup_nnnnn<\/em>, with nnnnn an ever increasing number.<\/p>\n<p>In addition to that, to avoid major hassles, it is highly recommended to only run <em>BorderCollie<\/em> on a copy of your\u00a0document structure, and check everything thoroughly afterwards, and also to make sure good backups are available.<\/p>\n<p><em>BorderCollie<\/em> is very powerful, and it is easy to cause\u00a0major self-inflicted damage.<\/p>\n<h3>Installing<\/h3>\n<p>To install <em>BorderCollie<\/em>, you need to first download the archive with the script (see download link earlier on this page).<\/p>\n<p>Extract the archive, and look for a file called <em>BorderCollie.jsxbin<\/em><\/p>\n<p>Start InDesign, and make sure you can see the Scripts Panel\u00a0(select the menu item <em>Window &#8211; Utilities &#8211; Scripts<\/em>).<\/p>\n<p>Right-click or control-click the <em>User<\/em>\u00a0folder icon and select <em>Reveal in Finder<\/em> or <em>Reveal in Explorer<\/em> from the contextual menu.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-5420 size-medium\" src=\"https:\/\/www.rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.44.32-PM-280x300.png\" alt=\"\" width=\"280\" height=\"300\" srcset=\"https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.44.32-PM-280x300.png 280w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.44.32-PM.png 528w\" sizes=\"auto, (max-width: 280px) 100vw, 280px\" \/><\/p>\n<p>The Finder or Explorer should now show you the contents of a folder called <em>Scripts<\/em>.<\/p>\n<p>Inside the <em>Scripts<\/em> folder you should see a nested folder called <em>Scripts Panel<\/em>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-5421\" src=\"https:\/\/www.rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.46.33-PM.png\" alt=\"\" width=\"1288\" height=\"602\" srcset=\"https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.46.33-PM.png 1288w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.46.33-PM-300x140.png 300w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.46.33-PM-768x359.png 768w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.46.33-PM-1024x479.png 1024w\" sizes=\"auto, (max-width: 1288px) 100vw, 1288px\" \/><\/p>\n<p>Double-click\u00a0the <em>Scripts Panel<\/em>\u00a0folder so it opens.<\/p>\n<p>Do not be tempted\u00a0to drag\u00a0<em>BorderCollie.jsxbin<\/em>\u00a0directly into the <em>Scripts<\/em> folder. BorderCollie.jsxbin should now be listed underneath the\u00a0<em>User<\/em> entry. You might need to click the little disclosure-triangle or arrow in front of\u00a0the word\u00a0<em>User<\/em> to disclose the level below.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-5424 size-medium\" src=\"https:\/\/www.rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-4.00.43-PM-280x300.png\" alt=\"\" width=\"280\" height=\"300\" srcset=\"https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-4.00.43-PM-280x300.png 280w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-4.00.43-PM.png 504w\" sizes=\"auto, (max-width: 280px) 100vw, 280px\" \/><\/p>\n<h3>Controlling BorderCollie<\/h3>\n<p>To pass instructions to <em>BorderCollie<\/em>, you must create a text file called <em>Updates.txt<\/em> in the &#8216;base&#8217; or &#8216;root&#8217; folder where you will let\u00a0<em>BorderCollie<\/em> loose.<\/p>\n<p><em>Updates.txt<\/em> will contain coded instructions for <em>BorderCollie<\/em>, one instruction per line.<\/p>\n<h3>Inventory<\/h3>\n<p>Often, the first task to tackle will be to take stock and figure out what is &#8216;out there&#8217;.<\/p>\n<p><em>BorderCollie<\/em> has a feature that allows you to extract and collect relevant info from all documents visited.<\/p>\n<p>You can then use this info in a spreadsheet program to study the styles and swatches in your folder structure, and possibly decide on changes that are needed, or errors that need correcting.<\/p>\n<p>For the sake of argument, I made a really small folder structure.\u00a0<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-5417 size-medium\" src=\"https:\/\/www.rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.21.56-PM-300x175.png\" alt=\"\" width=\"300\" height=\"175\" srcset=\"https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.21.56-PM-300x175.png 300w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-3.21.56-PM.png 424w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/p>\n<p>The &#8216;base&#8217; or &#8216;root&#8217; folder is called <em>Sample<\/em>.<\/p>\n<p>In this example,\u00a0things are arranged by brand, and there are separate subfolders for each\u00a0brand. For a very large file collection, this might take a fairly long time.<\/p>\n<p>Once <em>BorderCollie<\/em> finishes, a new file will appear in the &#8216;base&#8217; folder: <em>Inventory.txt<\/em><\/p>\n<p>This is a comma-separated file which can be imported into\u00a0a spreadsheet program like Excel or OpenOffice.<\/p>\n<p>You can use the sorting features of the spreadsheet program to compare elements across multiple documents, and generally get a feel whether things are set up correctly or not.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-5427\" src=\"https:\/\/www.rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-4.10.18-PM.png\" alt=\"\" width=\"3672\" height=\"1006\" srcset=\"https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-4.10.18-PM.png 3672w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-4.10.18-PM-300x82.png 300w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-4.10.18-PM-768x210.png 768w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-4.10.18-PM-1024x281.png 1024w\" sizes=\"auto, (max-width: 3672px) 100vw, 3672px\" \/><\/p>\n<p>The first column is a single-character code which represents the type of information:<br \/>\nD = Document<br \/>\nP = Paragraph Style<br \/>\nC = Character Style<br \/>\nS = Swatch<\/p>\n<p>The next column is the name, and the following columns depend on the type of information.<\/p>\n<p>Note that the keywords and values shown all over the spreadsheet are\u00a0expressed in the same format you would\u00a0use for formulating <em>BorderCollie<\/em> instructions.<\/p>\n<p>For example, if you see &#8216;space=CMYK&#8217; that would also be the way you can tell <em>BorderCollie<\/em> to set a swatch to the CMYK color space.<\/p>\n<p>Style Names and style groups are structured like file path names. If you have a style group &#8216;ABC&#8217; and style &#8216;XYZ&#8217; then BorderCollie will refer to that style as &#8216;ABC\/XYZ&#8217; (no leading slash).<\/p>\n<p>In some areas of the <em>Updates.txt<\/em> file, GREP expressions can be used. These are all &#8216;jammed&#8217; between two slashes &#8211; e.g. \/.*SpecialStyle.*\/<\/p>\n<h2>Simple Examples<\/h2>\n<h3>Consistent BasedOn<\/h3>\n<p>As an example, we want to introduce a new paragraph style into all documents, called <em>BrandBase<\/em>.<\/p>\n<p>We want all other paragraph styles to be &#8216;Based On&#8217; this new style.<\/p>\n<p>We also want this <em>BrandBase<\/em> style to use the font <em>Palatino<\/em>, style <em>Regular<\/em>.<\/p>\n<p>To accomplish that we change the file <em>Updates.txt<\/em> to contain<\/p>\n<pre>P,BrandBase,appliedFont=Palatino,fontStyle=Regular\r\nP,\/.*\/,basedOn=BrandBase<\/pre>\n<p>This tells BorderCollie to perform the following\u00a0operations\u00a0on every document it encounters:<\/p>\n<ol>\n<li>If the style\u00a0<em>BrandBase<\/em> does not exist, create it.<\/li>\n<li>Set the style\u00a0<em>BrandBase<\/em> to have appliedFont=Palatino, and fontStyle=Regular. This also applies to documents where <em>BrandBase<\/em> already exists.<\/li>\n<li>Find all paragraph styles that have a name matching the GREP expression\u00a0\/.*\/, and for each of them, change the basedOn to be <em>BrandBase<\/em>. I.e. make the style &#8216;Base On&#8217; BrandBase.<br \/>\nNote that this change will fail for some paragraph styles; more precisely:\u00a0<em>[Basic Paragraph]<\/em>, and <em>BrandBase<\/em> itself . You cannot make a style be based on itself. If we look at the same document, you should note that there is a paragraph style called\u00a0<em>headline<\/em> and another one called\u00a0<em> headline2.<\/em><\/p>\n<p>There might be more variants out there, and the one thing they have in common is that their name starts with the word <em>headline<\/em>.<\/p>\n<p>To collapse all these styles into a single style called &#8216;headline&#8217;, we&#8217;d use the following<em> Updates.txt<\/em>:<\/p>\n<pre>P,\/headline.*\/,replaceBy=headline<\/pre>\n<p>This tells BorderCollie to perform the following\u00a0operations\u00a0on every document it encounters:<\/p>\n<ol>\n<li>If the &#8216;replaceBy&#8217; style\u00a0<em>headline<\/em>\u00a0does not yet exist, create it.<\/li>\n<li>The GREP expression\u00a0matches any style whose name starts with\u00a0<em>headline<\/em>. Any such style is &#8216;collapsed&#8217; into the style <em>headline.\u00a0<\/em>If the style that will be collapsed is referenced\u00a0anywhere (e.g. applied to some text, or used as a &#8216;Based On&#8217; style), the style\u00a0<em>headline<\/em> will be substituted in place.<\/li>\n<\/ol>\n<p>If we look at the same document we now see:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-5434\" src=\"https:\/\/www.rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.05.40-PM.png\" alt=\"\" width=\"1952\" height=\"1192\" srcset=\"https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.05.40-PM.png 1952w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.05.40-PM-300x183.png 300w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.05.40-PM-768x469.png 768w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.05.40-PM-1024x625.png 1024w\" sizes=\"auto, (max-width: 1952px) 100vw, 1952px\" \/><\/p>\n<p>Note that the style\u00a0<em>headline2<\/em> has disappeared from the <em>Paragraph Styles<\/em> panel.<\/p>\n<p>You can also see that the content in the layout has changed appearance: the text &#8220;Subtitle&#8221; now uses the same style as the &#8220;Sample&#8221;. &#8220;Subtitle&#8221; was formatted in style <em>headline2<\/em>, and is now formatted in <em>headline<\/em>.<\/p>\n<h3>Changing Style Colors<\/h3>\n<p>For the next example, we want to introduce a swatch called <em>Brand Color<\/em> and use it for the <em>headline<\/em> style.<\/p>\n<p>The <em>Updates.txt<\/em> file will now contain:<\/p>\n<pre>S,Brand Color,model=PROCESS,space=RGB,colorValue=[200\\,100\\,180]\r\nP,headline,fillColor=Brand Color<\/pre>\n<p>This tells <em>BorderCollie<\/em> to perform the following\u00a0operations\u00a0on every document it encounters:<\/p>\n<ol>\n<li>The &#8216;S&#8217; code at the start of the line means: <em>Swatch<\/em>.<br \/>\nIf the swatch\u00a0<em>Brand Color\u00a0<\/em>does not exist, it is created.<\/li>\n<li>The swatch\u00a0<em>Brand Color<\/em> is set to be a Process color, in the RGB color space, with color value RGB=200,100,180. This also happens if <em>Brand Color<\/em> already existed from beforehand.<br \/>\nNote the backslashes before the two commas inside the color value. That is due to a quirk in <em>BorderCollie<\/em>: commas are normally used to separate individual elements in the line, e.g. the comma between &#8216;S&#8217; and &#8216;Brand Color&#8217;.<br \/>\nWe need to make sure <em>BorderCollie<\/em> sees the colorValue as one\u00a0single &#8216;thing&#8217; rather than as three things separated by commas. By prefixing each comma inside the color value with a backslash (\\), <em>BorderCollie<\/em> will not try to interpret the <em>colorValue<\/em> as three command elements. When specifying color values, remember to separate them instead with the two-character sequence \\,<\/li>\n<li>The &#8216;P&#8217; code means <em>Paragraph Style<\/em>.<br \/>\nIf the paragraph style\u00a0<em>headline\u00a0<\/em>does not exist, it will be created.<br \/>\nThe fill color for\u00a0<em>headline<\/em> will then be set to be\u00a0<em>Brand Color.\u00a0<\/em>This also happens if the paragraph style\u00a0<em>headline<\/em> already existed from beforehand.<\/li>\n<\/ol>\n<p>The same document now looks like this:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-5437\" src=\"https:\/\/www.rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.24.34-PM.png\" alt=\"\" width=\"3006\" height=\"1450\" srcset=\"https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.24.34-PM.png 3006w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.24.34-PM-300x145.png 300w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.24.34-PM-768x370.png 768w, https:\/\/rorohiko.com\/wordpress\/wp-content\/uploads\/2017\/06\/Screen-Shot-2017-06-05-at-5.24.34-PM-1024x494.png 1024w\" sizes=\"auto, (max-width: 3006px) 100vw, 3006px\" \/><\/p>\n<p>We see that\u00a0<em>Brand Color<\/em> was created, and assigned to paragraph style\u00a0<em>headline<\/em>.<\/p>\n<h3>Branded Colors<\/h3>\n<p>The previous update\u00a0was performed on all documents. For the next example, we want to use a different color definition for each brand.<\/p>\n<p>The Updates.txt file now contains:<\/p>\n<pre>S,Brand Color,documentPath=\/.*\\\/Brand1\\\/.*\/,model=PROCESS,space=RGB,colorValue=[200\\,100\\,180]\r\n\r\nS,Brand Color,documentPath=\/.*\\\/Brand2\\\/.*\/,model=PROCESS,space=RGB,colorValue=[100\\,200\\,150]\r\n\r\nP,headline,fillColor=Brand Color<\/pre>\n<p>This is similar to the previous file, but now we have two Swatch lines. Each of the swatch lines contains a GREP expression for the document path, so we can restrict what documents each Swatch is applied to.<\/p>\n<p>The first GREP expression\u00a0documentPath=\/.*\\\/Brand1\\\/.*\/ will match only documents that contain the folder name Brand1 in their path, prefixed and followed with a slash &#8211; i.e. \/Brand1\/. These examples are for Macintosh.
